TOURNAMENT REGISTRATION, WAITLIST, WITHDRAWALS, and REFUNDS


 

TOURNAMENT REGISTRATION

 

Tournament sign ups are on a first come first serve basis. Regular Members are welcome to sign up for any open tournaments in our "Upcoming Events" by following the steps below:

  1. Click on name of event you intend to register for
  2. Click the "Register Now" button on the page
  3. Click "New Registration"
  4. Type your name and click the autofilled name
  5. Complete registration inputs

 

If your name does not populate in Step 4, you are already registered for the event or you are not a Regular Member.  

 

Contact the Membership Chairman if you believe you are a Regular Member and you cannot signup for an event.

 

ASSOCIATE MEMBERS

 

Associate Members can access one GPGC event per year. Invitations will be sent out several weeks in advance to all Associate Members.

 

Event winnings must go toward upgrading to a Regular Membership.

 

TOURNAMENT CREDITS

 

If you have sufficient Tournament Credits to cover the entry fee you may use those credits to sign up by using the Tournament Credits Entry. There is no automatic validation so if you sign up using credits and you do not have a sufficient balance your credit card will be charged for your entry fee.

 

Tournament Credit balances are updated immediately after events so if you sign up for multiple events with credits please check to see that have sufficient credits to cover all your entry fees.

PAIRING AND TIME OF PLAY REQUESTS


Members submit many requests for specific tee times and pairing requests to accommodate their playing preferences and to avoid conflicting obligations.  The Tournament Director will seek to meet all requests, but there is no guarantee that all Members can be accommodated. 

 

To promote Members playing with a variety of other Members and equitably allocate tee times, especially early tee times:

  • Requests for tee time preference (e.g. early, mid or late) and pairing requests must be submitted with your registration using the Sign Up Notes.  Tournament Directors cannot accept requests after the Preliminary Tee Sheet has been issued because it requires significant admin time to find/confirm other Members willing to exchange spots.
  • Members will be permitted to submit 18 total requests during each tournament season, which covers approximately 33% of our regular tournaments
    • Play with one other Member, and/or
    • Play at a specific time (e.g. early, mid, or late)
    • Each request counts as 1 toward the allocation of 18 submissions (e.g. a pairing request combined with an early tee time request counts as 2 submissions)
  • Requests for pairings will be counted against each Member in the requested pairing 
  • Requests for specific times will only be counted against the Member submitting the request
  • Tournament Directors will post an update on the website after each tournament so that you can track your usage of requests

 

The number of Members requesting specific pairings and/or specific times has been increasing significantly in recent months and we are confident this is the most equitable way to allocate prime tee times when Members have conflicting obligations.

 

PRELIMINARY TEE SHEETS


LA Golf has reinstituted their practice of charging GPGC for unused tee times, and we must commit to our field size 5 business days before each tournament.  The club is required to pay for any unused slots.  Away events typically require a 2-week advance notice of the field size, and the club is also required to pay for any unused slots.

  • Preliminary Tees will be issued 5-7 days before Home tournaments and 2-weeks in before Away tournaments
  • Once the Preliminary Tee Sheet is issued:
    • New registrations will be placed on a Wait List unless there are openings in the resized field
    • Members will receive an email notification if they are placed on the Wait List and are responsible for cancelling their registration if they determine they no longer want to play in the event


WAIT LIST MANAGEMENT


Wait List management is one of the most time-consuming processes for Tournament Directors and we must streamline the handling of withdrawals and promotions, especially in the 48 hour period immediately before the kickoff of a tournament.  Members who are placed on a Wait List for a tournament will be promoted into tournaments as follows:

  • More than 24 hours before the start of a tournament, Members on the Wist List will be automatically promoted to the tournament and charged for entry fee in order of registration (e.g. earliest registrations are promoted first)
    • A notification email is sent by Golf Genius to notify you of the promotion
    • Members are responsible to monitor emails while they are in Wait List status.  If at any time after you are placed on the Wait List you are not certain you can play you are advised to cancel your entry.
  • Once we are within 24 hours of the first tee time for a tournament if there are withdrawals then all Members on the Wait List will be directly contacted by the Tournament Director to confirm they still want to be promoted
    • If you are on the Wait List keep a close eye on your emails the day before a tournament because if there are multiple Members on the Wait List you will be promoted in order of responding to the notification of an open slot
  • GPGC strongly suggests that if your email account is frequently full or your email provider occasionally rejects Golf Genius email that you establish a dedicated Google Mail account for receiving notices from GPGC


REFUNDS FOR WITHDRAWALS


Once GPGC finalizes the field size we are responsible for payment of all reserved greens fees. To avoid generating losses from Members who withdraw from a tournament after the issuance of the Preliminary Tee sheet our updated refund policy is as follows:

 

  • Prior to the issuance of the Preliminary Tee Sheet a refund for the full amount of the Entry Fee will be issued to Tournament Credits
    • If Members prefer a refund to a credit or debit card, we will deduct a 4% processing fee
  • After the issuance of the Preliminary Tee Sheet a refund of 50% of the Entry Fee will be issued only if there are Members on the Wait List to replace your spot in the tournament

 

FINAL TEE SHEET


Once the Final Tee Sheet is issued there are no refunds.  The Final Tee Sheet will typically be issued 24-48 hours before the start of a tournament


AWAY TOURNAMENT EXCEPTIONS


Away tournaments frequently have tournament commitments that are unique to each course.  If there are long-lead commitments and/or shortened times for withdrawing with a refund revised instructions will be provided in the Registration Notes and other tournament emails.
